Data privacy 

The general data protection regulation (GDPR) is an EU law that came into effect on 25 May 2018 to replace the previous Data Protection Act.  It applies to ‘personal data’; information which relates to a living individual who can be identified from that data, or from that data in addition to other information available.

What we collect and why

Pinewood Family Group Preschool collects and uses personal data for staff, pupils, parents, volunteers and other individuals who come into contact with the Preschool, that includes, but is not limited to an individual’s name, address, date of birth, photographs, bank details and other information that identifies them.

This information is gathered in order to provide the children's education.  In addition, the Preschool may be required by law to collect, use and share certain information to outside agencies for the purposes of safeguarding, SEND and other associated functions.

Whilst your child attends the preschool, we store information regarding ongoing progress and development, photographic evidence of learning, accident records, medical records and any relevant safeguarding/child protection information (including photos, if necessary).

Wherever possible, we will endeavour to give you access to the information that we hold about you or your children (upon request), and may correct such information in the event that it is incorrect.

We only collect/use data if: 

1. We have a lawful reason for collecting such information and do it in a fair and transparent way
2. We only use data for the reason it is initially obtained
3. We do not collect any more data than is necessary
4. It is accurate, and that we have mechanisms in place to keep it up to date
5. We do not keep data any longer than it is required 
6. We take reasonable steps to protect your personal data

Information security

We are committed to keeping information about you/your children secure.  We endeavour to protect your information against unauthorised change, damage, loss or theft.  All information collected in paper form is kept secure/locked away.  All computers/tablets are password protected and subject to the pre-school's Acceptable Use policy/Staff Code of Conduct.
